Privacy Policy

Effective date: May 1, 2026 · Last updated: May 2026

VineLearn Academy ("we," "us," or "our") is committed to protecting the privacy of our users, particularly children. This Privacy Policy explains how we collect, use, and protect information when you use our service at vinelearn.com.

1. Information We Collect

Account Information

When a parent or guardian creates an account, we collect their email address and, optionally, their first name. This information is managed securely through Clerk, our authentication provider.

Child Profile Information

Parents may create child profiles by providing the child's first name and grade level. We do not collect children's email addresses, phone numbers, or any other direct contact information.

Usage Data

We collect information about how the service is used, including which subjects are studied and activity timestamps. We do not permanently store the text of AI chat conversations on our servers.

Automatically Collected Data

We may automatically collect standard web server logs including IP addresses and browser type for security and service improvement purposes.

2. How We Use Your Information

Service Delivery

We use your information to provide, operate, and maintain VineLearn Academy, including authenticating accounts and enabling the AI tutoring service.

Safety and Monitoring

Parents have access to a dashboard that shows their child's learning activity and any flagged content. This supports parental oversight of the service.

Communications

We may send transactional emails related to your account (e.g., email verification, password reset). We do not send marketing emails without your explicit consent.

Service Improvement

Aggregated, anonymised usage data may be used to improve our educational content and AI tutoring features.

3. Children's Privacy (COPPA)

Parental Consent Required

VineLearn Academy supports students in Grades 1–12. Consistent with the Children's Online Privacy Protection Act (COPPA), a parent or legal guardian must create and manage the parent account. Students access the service through a parent-controlled child profile — they do not independently register accounts.

Information Collected from Children

The only information associated with a child profile is their first name and grade level, both provided by the parent. Children do not directly provide personal information to us.

Parental Rights

Parents may review, modify, or request deletion of their child's profile and associated data at any time by contacting us at the address below or through the parent dashboard.

4. Data Sharing and Third Parties

We Do Not Sell Your Data

VineLearn Academy does not sell, rent, or trade personal information to third parties.

Service Providers

We share data with the following trusted service providers who are contractually obligated to protect your data: (a) Google LLC – powers the Gemini AI tutoring responses; messages you send to the AI tutor are transmitted to Google's API for processing. (b) Clerk Inc. – manages parent account authentication and secure sign-in.

Legal Requirements

We may disclose information when required by law, subpoena, or other legal process, or when we believe disclosure is necessary to protect our rights or comply with a judicial proceeding.

5. Data Retention

Account Data

Parent and child profile data is retained for as long as the account remains active. You may request account deletion at any time.

Activity Data

Learning activity logs are retained for up to 12 months to support the parent dashboard and progress tracking.

Deletion Requests

Upon receiving a verified deletion request, we will remove personal data from our active systems within 30 days, except where retention is required by law.

6. Your Rights

Access and Correction

You have the right to access the personal information we hold about you or your child and to request corrections to inaccurate data.

Deletion

You may request deletion of your account and associated data. Child profile data may be deleted independently without closing the parent account.

California Residents

California residents may have additional rights under the California Consumer Privacy Act (CCPA). Please contact us to exercise these rights.

7. Security

Measures We Take

We implement industry-standard security measures including encrypted connections (HTTPS/TLS), secure authentication tokens, and access controls to protect your information.

No Guarantee

While we strive to protect your personal information, no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security.

8. Changes to This Policy

Updates

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy on this page with an updated effective date. For significant changes affecting children's data, we will seek renewed parental consent where required.
